You do not need to download our software. Just sign up and enjoy the ease of managing your property from any location. The SPS software platform supports all types of real estate investment property.

Because it is user friendly, little or no training is needed to get started. If you are at your computer, we can share a screen to help you learn a sequence or fix a problem. If you leave a message after hours, we will actually contact you the very next business day. You can choose a 14 day free trial if you want to kick the tires or you can sign up directly for a subscription. The free trial allows you look around, add a portfolio and a property and a lease etc., but you will not be able to use pay per use features like tenant screening, rent collection, e-sign without a subscription and merchant account. Is my credit card information safe?
Smart Property Systems has encryption for your credit data and bank data that is secure to bank standards. We are PCI (Payment Card Industry). We use powerful Azure servers to back up all data and it is encrypted in a way that makes it always safe. Although we will collect credit card information, we do not store your credit card information on our site. It is stored by the payment processor. This company, PaySafe, is also PCI compliant to the highest level to protect your card data. Details can be found in our security policy for more details.
Can you tell me about your privacy policy?
Privacy is important to all of us. That is why we will never give your personal information, or that of your tenants, to anyone except if we are required by law to do so. That’s it. We are in this business to protect you. For more information, please see our privacy policy.
What kind of support do you offer?
Smart Property Systems offers several types of support. As mentioned in “Easy to Use”, Live Chat, help desk email and phone support are available during normal business hours, Monday through Friday, 8 AM MST to 5 PM MST. Sometimes our “more workaholic” staff will take help desk emails during off hours. You can always leave a message after hours and we will get back to you the following business day. This type of customer service for questions about how to use the software is included in your subscription fee. SPS also has virtual assistants who are available to work for you in your account if needed. Virtual assistants will help you with variable payment entries, creating leases and lease documents, tracking payments, and updating your property information. Their work is billed in 15-minute segments. (see pricing schedule) You will be able to fill out a work order and attach details to that work order. When the work is completed, the assistant will notify you and you will review and approve the work. How do you protect against Sever outages?
We monitor all activity on our servers 24 hours a day and our engineers are automatically and immediately notified of errors. Our system is scanned regularly by different services for security vulnerabilities. We protect your data using a redundant data storage service and event management (SIEM) from Azure. SPS has also used technology to assure that latency is not an issue on the servers so that pages load quickly and completely. However if there is a power outage in your area, you will have to wait until the power is restored on your computer. Cell phones and tablets will still work.
Do I have to sign a contract with Smart Property Systems?
For all customers our service is provided month to month. No contract is necessary. If a subscriber with 500 units or more wishes to negotiate a contract for a given period of time at a guaranteed price, that option is also available. SPS desires to provide the best software to Investors and managers no matter how many properties and units are being managed at an affordable price point. Do I need accounting software like QuickBooks?
The accounting in SPS is a very robust double entry GaaP system (Generally accepted accounting Principles). It is already set up for you to address the type of accounting needed for all types of property management. The most advantages detail is that it is automated. Payments entered by tenants and members are automatically remembered and balanced against statements. Date sensitive items are automatically tracked for you. You will be able to see rent rolls, and income/expense data. When using the automated rent collection, all accounting for rent collection is done by the software. Tenants and other payers can see an account history in real time which promotes trust and faith in the payment process. You will have monthly income and expense reports by unit, property and portfolio. You will have an array of reports available as well as tax documents which can be created from your account. Whether you use our accounting system or download entries to another accounting system is up to you but our system is as robust as most other standalone accounting software products.
Can I export my data to a report?
Yes. We understand that your data belongs to you. You can request accounting reports and performance reports in the software. They can be downloaded or printed from XLSX. If you manage for others, you can create an owner’s report monthly
How do I enable automated rent collection?
To automate rent collection all subscribers will need a merchant account registration with PaySafe, the payment processor for SPS. To make this process easy and fast SPS has built in the application needed to get the merchant account with our Payment processor. That application is simple to fill out with your personal or company information and will require you to upload a voided copy of a check for the settlement account you use (where money is to be deposited). There may be other identifying documents that will be needed and there is an easy upload feature for that purpose. These documents are used by the enrollment team to approve your merchant account. The process takes about a day. As soon as you have an approved merchant account you can attach that Merchant account connection automatically to leases, contracts and properties to track income and expenses for accounting reports. When your tenants/members log into their portal they will be able to add ACH bank information, debit and credit card details to their tenant portal which allows them to pay rent and any other charges made. Your company can add as many merchant accounts as you need to manage your properties and the business. You will have the ability to choose which merchant settlement account you wish to use for each tenant account.
How do I post my webflyer?
It is easy to post your webflyer. All property information is transferred to your webflyer template automatically. Once you have uploaded the data, you can activate the webflyer. Activated web flyers are posted automatically to many URLs and seen by thousands of prospective renters per month. The applicants can contact you through the webflyer.
What browsers Do you support?
The software is works well on Chrome, Firefox, and Safari. For best results use the latest version of a browser. Smart Property Systems pages are built to be responsive and works on multiple screen sizes including tablets and smart phones.
How do I cancel my subscription?
If you are a month to month subscriber, first download your data and reports. Then you can simply cancel your subscription in your settings. If you are on a contract, our customer support can help you cancel your subscription. You will be charged the balance due on the contract before the account is deactivated.
Do you provide refunds upon cancellation
When you cancel your subscription, we only charge you based on your usage of features, prorated. Pay per use items have already been used and cannot be refunded. If you sell your properties and get out of the property management business, or just don’t like us anymore, then cancel before the end of your billing period to avoid any further charge except any pay per use items that have not been paid for.
